Summary/Objective: 
The Assistant, Operations provides support to Director Operations with oversight and execution of fleet renewals, registration and management of Motor Vehicle Commission requirements, creating, entering and tracking purchase orders, maintaining equipment lists. Provides assistance with all administrative activities in department.

Essential Functions:

  • Execute fleet renewals for apportioned vehicles
  • Motor Vehicle Commission (state agency) requirements for company vehicles
  • Purchasing and creating purchase orders
  • Matching and coding invoices for approval
  • Maintaining equipment lists
  • Responsible for ordering phones and accessories for employees
  • Add all new equipment to Spectrum, equipment list and insurance
  • Manage compliance with DOT files and driver lists, including DVIR files
  • Keep company calendar on a daily basis for days off of drivers and construction group
  • Maintain all company files on each piece of equipment and company vehicles
  • Responsibility for sorting and distributing paychecks on a weekly basis
  • Coordination and logistics of department meetings
  • Involved with intercompany billing for mechanic repairs, fuel and equipment
  • Track fuel usage
  • Ensure DOT compliance by maintaining boards in shops
  • Safety investigations and documentation
  • Responsible for insurance card tracking, adding and deleting vehicles from insurance policies.

There are no supervisory job responsibilities.

Work Environment: 
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines. At times, will work in and around our mechanic shops at two different locations (Collingswood and Burlington). Also, may be required to travel for safety related investigations.

Physical Demands: 
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type/Expected Hours of Work: 
This is a full-time position, and general hours of work and days are Monday through Friday with general office hours from 7:30 AM to 4:00 PM.

Travel: As needed

Required Education/Experience
  • High School Diploma/GED is required.
  • Two-five years’ administration experience is preferred.
Additional Eligibility Qualifications:
  • Excellent verbal and written communication skills.
  • Excellent organizational and time management skills are required.
  • Proficient in Microsoft Office (Word, Excel) applications is required.
  • Proficient in Spectrum software applications is preferred.
  • Proficient in Bid2Win software is preferred.

  • Positive, team-oriented attitude.
