Site Services Supervisor


Summary:  The Site Services Supervisor, under the supervision of the Associate Director, Facilities Engineering, will be the individual primarily responsible for coordinating and managing the various contractors and staff that support the day-to-day operations of the FDBT facilities and grounds, including but not limited to various aspects of security, janitorial services, landscaping/lawn maintenance, uniform services, extermination/pest control, space planning, leased company vehicles, etc.  This position will be responsible for monitoring the performance of these services against the contract specifications, and execute changes and modifications to those contracts as necessary for improvement as needed.

This position will also manage small projects, as well as, work with other managers and supervisors to promote the efficiency and safety of routine operations and events.  The Site Services Supervisor will also monitor the facilities for unsafe conditions and operations and work with the Safety Team to eliminate hazards when detected.

Essential Functions:

  • Responsible for taking the lead in the day-to-day operations of the three (3) FDBT facilities, to monitor the cleanliness, security, and safety of the sites to present the facilities as a professional and appealing place to work and visit.
  • Oversees administrative functions to include furniture and office equipment maintenance, lease contracts, contractor training, security, janitorial, landscaping/lawn maintenance, extermination/ pest control, etc.
  • Monitor the performance of the service providers and staff; work with contractors to improve the services in support of the above.
  • Understand site service needs and ability to communicate with other employees, supervisors, and managers to further the above goals.
  • Assist in writing SOP’s, procedures, and/or developing schedules for better performance of the contractors.
  • Assists in the development, preparation and compilation of reports, presentations and other data as required.
  • Oversees the coordination and preparation of facility tours.
  • Maintains working relationship with NCTM Workforce Development to coordinate events and resolve building issues; coordinate with TAMU on leasing arrangements (e.g., NCTM and TIPS).
  • Serves as Point of Contact with TAMU Transportation Services and oversees issues related to Parking Lot 123.
  • Responsible for Leased Company Vehicle contracts and assignment of leased vehicles to staff.
  • Manage contractor training program by ensuring identified contractor training is completed and current.
  • Ensure accurate documentation of site services activities executed under PM, CM and/or emergency work orders through adherence of cGDPs.
  • Ensure compliance, as set forth in internal quality protocols and SOP’s, including cGMP and FDA regulatory guidelines, within area of responsibility.
  • Continuously stay current with assigned SOPs and keep up to date training file ensuring compliance with all applicable Standard Operating Procedures.
  • Ensure a safe work environment is maintained through adherence and compliance with safety guidelines, policies, site procedures and job performance qualifications.
  • Demonstrate continuous personal pursuit to increasing job knowledge, proficiency in technical understanding, and problem solving abilities.
  • Maintain a positive, professional, and customer oriented attitude.
  • Communicate concerns related to safe work practices, hostile work environment, or any other type of employee misconduct directly to the Manager, or Human Resources.
  • All other duties as assigned.

Required Skills & Abilities:

  • Results oriented ensuring quality performance from contractors and resolve issues with underperforming contractors.
  • Ability to engage others in a professional manner to ensure proper performance of contract stipulations, resolution of issues with TAMU/NCTM, and work across all FDBT functional areas in a collaborative manner.
  • Customer focused, able to understand the needs of the internal customer quickly and develop solutions to address problems; requires a strong understanding of cGMP requirements for clean utility systems.
  • Knowledge of a wide variety of typical site and facility issues regarding the essential functions listed above in order to understand contract performance of daily tasks, such as housekeeping schedules and the limits of pest control operations.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Strong written, verbal, and interpersonal communication skills; must be able to develop and draft clear and concise procedures, communications, reports, manuals, etc.
  • Ability to work in a fast-paced, state of the art, customized manufacturing facility.
  • Strong organizational skills.
  • Ability to multitask and prioritize work assignments with minimum supervision.
  • Tracks equipment and consumables, including the preparation and delivery of equipment invoice packets to TAMUS.
  • Serve as point of contact with TAMU Transportation Services and oversees issues related to parking/parking passes.
  • Ability to effectively present information and respond to questions from groups of personnel.
  • Detail oriented and accurate.

  • The ability to regularly lift and/or move up to 50 pounds.
  • Climb ladders and stairs of various heights.
  • Be exposed to wet or humid conditions.
  • This position will include On-Call response for Facility issues.
  • Be exposed to outdoor weather conditions.
  • Be exposed to noisy environments.
  • Attendance is mandatory.

Supervisory Responsibilities: 

  • This position may have direct report responsibility.


  • Associates Degree preferably in Facility Management or related field with four (4) years’ experience in a manufacturing or research facility; OR
  • High school diploma or general education degree (GED) with eight (8) years of facility management experience in a manufacturing or research facility.
  • Maintenance and/or facilities experience in a FDA regulated facility is a must.

Preferred Qualifications:

  • Bachelor’s degree in Facility Management, Business or related field.
  • Experience managing outside contractors
  • Multilingual abilities.
