JOB DESCRIPTION

As Collections Administrator, your specific responsibilities will include:

  • Prepare/distribute various reports, including but not limited to, over limit, small balance elimination, and hierarchy reports.
  • Type and compile/distribute a variety of collection letters.
  • Process check requests and credit memos.
  • Log, verify, photocopy, and forward and/or mail all live checks to Lockbox for posting.
  • Prepare legal files for electronic submission to the Recovery department.
  • Maintain office file documentation.
  • Sort and distribute incoming mail from lockbox to Credit Managers in a timely manner.
  • Generate/print duplicate invoices, timesheets, and A/R Aging reports for faxing, mailing and/or e-mailing to clients as requested.
  • Provide clerical support to different collection teams during their clerk’s absences.
  • Research MJ to locate bill to email to perm client.
  • Read notes in system regarding special handling and/or extended terms.
  • Use e-mail template and maintain daily production requirements to send the email to clients in a timely manner. Add extended terms to the Welcome email where applicable.
  • Notate in PeopleSoft system that email was sent and set up a manual follow-up.
  • Monitor mailbox for client response and reset or remove manual follow-up depending on client's response. Send duplicate invoice if client requests.
  • Prepare legal files for electronic submission to the Recovery department. Maintain office file documentation.
  • Prepare Consolidated Aging to distribute to the Credit Managers and run needed agings for PCMs.
  • Credit card processing support.
  • Provide clerical support to different collection teams during their clerk’s absences.
  • Handles other special projects as assigned.
  • Review return mail and check PeopleSoft notes to see if an updated address has been provided or a duplicate invoice already emailed otherwise return mail is referred to the PCM.
  • Handle telephone reception as needed.
  • Monitor and respond to general, department voicemail messages.
  • Answer incoming overflow of client telephone calls.
  • Take messages, provide information, and/or direct caller to appropriate party.
  • Maintain office supplies and equipment for department.
  • Handle other special projects as assigned.


Qualifications:

  • High School diploma or equivalent.
  • 1+ years’ previous clerical experience required.
  • Up to intermediate proficiency in Adobe Acrobat, Microsoft Word, Excel, Outlook, Windows & XMediusFAX software.
  • Ten key and basic math.
  • Ability to learn other applications easily.
  • Verbal and written communication skills.
