Office Manager

Purpose, Scope, & Dimension of Job:

The Office Manager is responsible for managing, organizing and completing administrative tasks and office procedures, ensuring the efficient day-to-day administrative operations of the office. This position assists and supports the work of management and other staff. The ideal candidate will possess strong organizational and communication skills, as well as problem solving skills.

Supervisory Responsibility:

This position has supervisory responsibility over administrative office staff within the location.

Essential Duties/Major Accountabilities:

  1. Manage the administrative aspects of the office to ensure a strong focus on customer service and quality
  2. Hire, select, train, and manage additional administrative office staff within the location
  3. Handle personnel management functions for the administrative staff such as timekeeping responsibilities, performance feedback, and coaching and disciplinary issues
  4. Maintain positive interactions while assisting vendors, installers, potential candidates, and employees
  5. Greet visitors and answers and directs telephone calls in a polite, enthusiastic and professional manner
  6. Complete a high volume of computer work, including entering information and upload photos into our computer database
  7. Implement, manage and maintain record keeping practices for customer files, including managing confidential customer data
  8. Manage office equipment and maintenance, including maintaining an inventory of office supplies
  9. Coordinate and organize office events and activities
  10. Manage and maintain work folders and paperwork for installation crews, including the collection of completed installation documentation
  11. Assist with the collection of customer payments upon job completion
  12. Complete standard administrative tasks such as making copies, scanning and upload documents
  13. Review and send payroll information and/or discrepancies to the corporate office as needed
  14. Assist with the on-boarding process for new hires
  15. Manage the office in the absence of the General Manager
  16. Maintain a clean office environment including kitchen, copy rooms, etc.

Minimum Required Knowledge, Skills, & Abilities:

  1. High School diploma or GED
  2. Must be at least 18 years of age
  3. Must have at least three years of professional administrative work experience in an office environment
  4. Excellent communication skills
  5. Basic computer knowledge, including familiarity with Microsoft office, including Word and Excel
  6. Great organizational skills
  7. Quick thinker and fast learner
  8. Self-directed and able to complete tasks with limited supervision
  9. Able to multi-task with multiple customers at once

Additional Preferred Qualifications:

1. Experience as an office manager

2. Experience in the home improvement industry

Physical Requirements:

1. Must be able to remain in a stationary position for prolonged periods

2. Requires the ability to move about inside the office

3. Must be able to move items weighing up to 25 pounds

4. Must be able to communicate effectively with staff, customers, vendors, and the public

5. Constantly operates a computer and other office equipment such as a calculator, copy machine and computer printer


Full-time, 40 hours per week. Standard office hours are M – F, 8:00 – 5:00 but hours may vary and some overtime, including evening and weekend hours, may be required to complete projects under deadlines.
